AI Is Already Changing the Wedding Industry
AI is no longer something that is “coming soon.” It is already being used by wedding professionals to streamline their businesses and improve how they work behind the scenes.
For many suppliers, the challenge is not whether AI is relevant, but understanding how to use it effectively without losing the personal touch that makes their brand unique. The goal is not to replace creativity or client relationships, but to support the systems that allow those strengths to shine.
Why AI Matters for Wedding Professionals
There is a common belief that AI is only useful for large companies or highly technical industries. In reality, it is now accessible to businesses of all sizes, including independent wedding suppliers.
Many professionals are already using AI to:
Manage and reduce admin workload
Respond to enquiries more efficiently
Support content creation such as blogs, captions, and emails
Improve consistency in their client communication
At the same time, client expectations are changing. Couples are used to receiving fast, clear responses and seamless experiences. As a result, suppliers who can deliver this level of service are more likely to secure bookings.
What AI Is Changing in Your Business
AI is not replacing the core of what you do. Your expertise, creativity, and ability to connect with clients remain essential.
What is changing is the operational side of your business, including:
Administrative tasks
Communication workflows
Content production
Response times
By improving these areas, AI allows you to focus more on the parts of your business that truly require your input.
Practical Ways to Use AI in Your Wedding Business
1. Admin and Time Management
Administrative work can take up a significant portion of your time. AI tools can assist with drafting emails, creating timelines, and organising information, helping you stay on top of your workload more efficiently.
2. Content Creation
Creating consistent content can be challenging. AI can help you generate ideas, structure blog posts, and draft captions or emails. The key is to refine the output so it aligns with your tone and brand voice.
3. Faster Client Responses
Timely communication plays a major role in securing bookings. AI can support quicker responses while maintaining professionalism and consistency, even when you are busy.
4. Improving Client Experience
From onboarding emails to proposal templates, AI can help you build systems that create a smoother and more organised experience for your clients, without requiring a large team.
Getting Started Without Feeling Overwhelmed
One of the most common concerns is not feeling confident with technology. However, using AI does not require advanced technical skills.
A simple approach is to:
Start with one tool
Apply it to one task in your business
Adjust and refine the output over time
This allows you to gradually build confidence while seeing immediate benefits.
Final Thoughts
AI is not about replacing what makes your business unique. It is about improving how your business operates.
When used effectively, it can help you save time, improve consistency, and deliver a stronger overall client experience. The focus should be on using AI intentionally, in a way that supports your goals and enhances your existing processes.

Welcome to the We Pro Podcast, the podcast for wed pros, no matter their stage. We are your host, Katie and Roxy, and this is the Wed Pro Podcast.
Katy: Okay. Today's episode is a big one, and Roxy has already warned me before we get into this show today because we are talking about something that I'm gonna be honest about. I do geek out about this.
Roxy: Oh, she geeks out.
Katy: It is changing business. It's changing the wedding industry, whether you are here for it, whether you are ready for it, whether you are not here for it or not ready for it, it's coming and it's changing the scope and that is ai.
Katy: So before your eyes glaze over, or maybe you know, you think, oh no, Katie you're talking about this. Roxy is excited about it as well.
Roxy: I am, I promise.
Katy: And before you think this isn't for you, we just need you to hear this for a second. If you are running a wedding business right now and you want to stay booked, profitable and relevant, AI is something you just need to understand.
Roxy: we've been using it for a while now. Katie's been building with it and teaching.
Katy: And teaching it. Yeah and we've been testing it. Goes through phases. It's like the early version of Google, right?
Katy: I'm sure that wasn't what we see now. The early version of the internet definitely isn't what we see now. If you think about what TeleTech and things was
Roxy: Oh, my TeleTech.
Katy: Yeah, you remember TeleTech? Yeah. And C Effects and things like that. Even in the few short years that we've looked at some programs, we were looking at Claude.
Katy: Probably four years ago, weren't we? We were like, but it's very early stages. Yeah. This isn't very good. Really clunky, couldn't understand tone of voice and things like that. And it has, got better. We, like you say, we have been. Playing with tools, new things other things,
Roxy: and creating actual tools that wedding can use to save time, stand out and stay ahead. That's what excites me.
Katy: Absolutely. And I think that's it. Like we're just gonna be sharing some insight and some practical knowledge and hopefully we'll share some things about what already is happening in the world of AI and how you can use AI to your advantage. Okay. So as we've already said, it's already reshaping businesses.
Katy: Especially the wedding industry, and it's helping and shaping how wedding businesses are now operating. It is not just the big tech companies, but it is the day-to-day wedding suppliers like you and me. Photographers are using AI tools to call images, edit galleries.
Katy: They're looking at how to speed up delivery. Planners are writing 50% of their emails with ai support during peak season. Florists are using it to generate some marketing proposals or some templates. It's not coming, it's already here.
Roxy: And look right. This doesn't mean that you are being replaced, it means your work is changing.
Roxy: For example, photography is not going anywhere, but the admin heavy parts of it, that's where AI is making a dent. Same with planning, same with content creation, you are still needed. Your skill, your energy, your relationship with that couple, all of that still really matters, but you're going to be expected to do more faster, and
Katy: yeah, that is a good point, yeah. Actually, in a world where your clients are using AI and they can understand that things are done fast.
Roxy: They're gonna expect that same level. Yeah. From the people that they're dealing with. And AI isn't a threat. It's at all. And wedding pros who use it well of going to outpace the ones who ignore it. And we've been speaking about this, taking everything by storm for a while. It's a bit like when TikTok came in, you either got on or you got left behind.
Katy: Yeah. And that's it. And I think, in, in terms of exactly what you said there I've been looking into what's next for chat GBT and that seems quite interesting actually, as to what's gonna be coming next for chat GBT. But I'm excited because I feel like, okay, I'm actually. Ready for this to come. And when it does come ads, I already understand why this is gonna be revolutionary, because it's not gonna work in the same way Google Ads works and it's not gonna work in the same way Meta Ads works. But chat GBT ads, there's been no official announcement, but there is word on the street shall we say that they're coming.
And it's not gonna come in a way that is going to like be really intrusive. Apparently it's coming in a way that's very soft. But the opportunity for small businesses in this field is very exciting. And I'm gonna say this out outright. I think when it comes to AI in the wedding coaching space, we are leading this. We're not just using it, we're building with it. We are testing new tools, we're creating workflows. We're vibe, coding, all of these things. A few years ago, a super, like complex, but actually there are things out there that are make that makes this stuff a little bit more accessible.
Roxy: That's very accessible.
Katy: Yeah. But this is, I think, what we like to do with things like Instagram, like you just mentioned there about TikTok. We're ahead of it and we know that it's coming, so we wanna learn and we also wanna teach it. We've built some tools that our clients are using, and we've got some tools that we're gonna be opening out to you guys that really do keep your eyes peel.
Katy: They're coming super soon, but we're actually, instead of it just being generic AI slop that yes, AI can produce that content, but it's because you're not using it, right? And it's the same as like Instagram can be an amazing tool, but if you're putting out bad stuff, you're gonna get bad things back. We've been looking at this, building it, teaching it to think like Wedding Pros, so it can actually help you show up better in your business, not just faster,
Roxy: yeah. And here's why that matters, right? We are not handling you at all. And saying, there you go. Don't figure it out.
Katy: Oh, we're actually inside the content vault. 'cause I'll do this. Yeah, we are actively building and developing features and tools for your business that would be absolutely things that you would never think you would be able to afford or be accessible to small business owners such as building.Personalized workflows for every single client, you know that would either gonna cost you loads of time or loads of money before. There are ways that we can do this inside of AI that makes the onboarding sequence really smooth. There's things you can do to make the CRM sequence really smooth. All of these things that we are.Learning for our own business, but also testing and trialing. And we've built AI tools for some of our clients who are like loving using them and testing them.
Roxy: Absolutely loving them,
Katy: aren't they? Yeah. That use AI to just help you. Show up better in your business. Not just quicker, but actually smarter. And the thing is, I think in terms of why it gets to that bad rep is exactly like it's not generic at all because that's all ai. It is, right? When you understand what AI is, it goes out into the internet and it basically brings back what it finds. That's all. That's what it is. It's like a fisherman on the pole, right? And then they pull in the fish and that's what AI does. Roxy's having a little laugh at my house there. AI scours, the internet brings back the source which is why it's very generic and why it only takes you a certain amount of the way the people that are understanding AI and under first step understanding it, training, It's doesn't have copy and paste energy. It doesn't have AI energy whatsoever. And we're doing this not because it's trendy, we've been looking at this now for a few years, but because we can see what's coming and we absolutely refuse, don't we r to let wedding suppliers fall behind because they haven't got massive budgets like tech companies or masses of time because we're running businesses here, people.
Roxy: That's it. And if you take anything from this podcast and if you know is to go and see what AI can do for your business, honestly, because if it's used in the right way, it can revolutionize what you do. Indeed. Let's, so let's break it down a little bit more. Where is AI actually helping wedding pros right now? So first off, admin, like who loves admin anyway, you know that endless mental load of replying sales, the wedding, the following up the writing timelines. You can use AI to handle 70% of that and still keep your tone as well. Secondly is with content, so writing captions, blog posts, emails, website updates, that sort of thing.
AI can help you batch that work fast and tailor it to what couples are actually searching for. Third is speed. Now, in a world where 50% of couples book their first supplier. To reply your inquiry response time matters a lot, and AI lets you systemize that without sounding like a robot. Congratulations on your engagement.
And there's more coming too, right? Like legal tools. Yeah. Contracts and flag. Like missing things. Gosh, this, it's just never ending.
Katy: There's even , AI that checks, if your branding is giving off budget signals, when you actually wanna look high end, there's headshot tools and I know that this is very much a trend right now and some people love it or some people hate it, but it's about how you are using it for good, headshot tools that can generate press ready images when you can't get in front of a camera.
Roxy: And let's talk about the resistance part of it for a sec. Okay. So we've heard people say things like, I'm not techie, or, oh, AI's not for me. Or even I'm scared it's gonna make like everything feel soulless or really generic. And we get it. It's new, it's fast moving. And yeah, when it's used badly, it's like anything, if you don't use it in the right way, it's not gonna work properly. So it can make things feel generic if you are not like utilizing it properly.
Katy: And can I just say, and the people listening to this or who know me will know that actually, am I techie at all? No. In terms of like basic tech, I always think I'm like a grandma. No offense to grandmas. There will be grandmas out there that have, are way techier than me, but like opening up like it's not very good at working way around Zoom as our clients know, or working my way around Google calendar sometimes or get in that bit my phone to talk to my laptop. But. If I can get on board with this, I want to reassure you, I am not techie in those things at all, but you can use AI to simplify AI as well.We did a thing. Quite a very early entry training, didn't we, about 18 months ago for our clients. And actually I'm gonna do another one because in just that short period of time, it's come on so much. But we would, we just did a training on how to utilize chat GBT, didn't we? Yeah. And just purely on chat, GBT, what else? Chat. GP could chat GPT. I knew he was gonna do that. For those of you that know. And I what is laughing their head off? People can see, don't worry. Like those on YouTube are getting a right treat. That what more it can do then just,
Roxy: I like level, it's an iceberg, isn't it? Like you can only see that like bit that's out of the water, but.
Katy: Yeah, so we did this training on that and actually even since then, so much stuff, but what our clients were saying on that training was like, oh my word, I didn't know it could do this much. That was quite sure, and that was just one tool. It actually can do more and more. It's just about you stepping back from your business and thinking, okay, is there a process or how would I make this easier or smoother for me or for my clients? And that's how I've got. To be now building things from scratch, not inside tools not only custom gpt that will and custom wizards and little tools that will do things specifically for the wedding industry that is trained and built on the wedding industry, but even creating whole kind of platforms just by. Mapping out on paper or really stopping to think about some things that you should already be thinking about, like what could this look like? In an ideal world, what would my onboarding process look like? I just wanna be able to put in a few numbers and press enter. Okay. There are tools now that can build that for you. And we have built them, haven't we, Roxy?
Roxy: Other than a calculator?
Katy: Other than a calculator. Some people struggle with the kind of, how do they know that's profit Or how do they, how can they, how do they know that their pricing includes profit
Roxy: and if you don't know the formulations. Like the formulas to get to those numbers.
Katy: Yeah, it can be a bit because you only know what you only know, and Google can only help you to get the answer dependent on what you enter into it. Whereas AI can, and this is why I'm excited for the AB to come, AI knows so much and can actually reason in terms of it can. Understand and reason, so it can offer suggestions that you may not have even thought of yourself. And that's why I'm excited about the advertising.
Roxy: Does anyone else just love it? That it gives you a little pep, peppy pep talk. It always tells you're great, but
Katy: sometimes it does. And then I say, stop telling me I'm great because you've got that wrong. The moral of you not being protective of your creativity or your brand. You get to choose how you use it and how you implement it. You are falling behind. Times are moving, and we do not want wedding suppliers to get left behind because they didn't want to look at it in the first place or because they just thought, oh, it's for techie people. We want you to be early adopters, early, users of this in a smart, grounded way, because that is where the opportunity is.I absolutely promise you.
Roxy: Yeah. And this isn't just about saving time or making life easier, it's about your positioning as well. So when couples find you, they're expecting that speed, clarity, confidence. They don't wanna wait five days for a quote. They don't want that boring brochure. They want that premium experience from the first click. And AI helps you deliver that without needing that full-time assistant. And that's the real shift. And like we said earlier, like couples are planning their weddings using ai, they're getting. Answers to their needs and wants faster.
Katy: Yeah. And not even just from in the wedding industry in every area of their life. You cannot afford to wait this out, guys, the businesses who are gonna lean in and learn how to lead with ai, not just use it, but understand how to build it into their business in a way that. Helps their client how to build it into their content, how to build it into their client experience in order to make the end experience for their couples better. They are the ones that are gonna be the ones in five years time, not even in five years time. AI is moving so fast in 12 months time, in two years time, and we wanna make sure that is you, because you are obviously somebody that is into industry growth because you're listening to this podcast.
Katy: That's what we are already, playing with teaching, learning, and we're already working on it for some of our clients. And all of our clients actually get access to the tools that we have built. So if you have been AI curious, but maybe you haven't had any time to figure it out, make this your moment right.
Roxy: Yeah, try a tool, watch a tutorial, or better yet, come and learn with us like we've got you when it comes to this. Because we're not just using ai, we are teaching it to work for wedding pros like you.
Katy: Yeah. And we're doing it like everything that we do with strategy, with some hunger, with humbleness. Roxy always says with fun it's not about. This being a gimmick or a trend or a hype.
Roxy: Yeah. It's not like a buzzword. It's not a trend or a, it's not going anywhere.
Katy: And if you wanna know how to turn AI into something that actually helps you drive bookings, actually saves time and helps you build that business that you want, that brand, that legacy, that is what we are here for.
Roxy: And we'll leave you with this, right? You can either spend the next six months saying, I don't get it, or you can start learning from people who are in the trenches testing it and showing real results. We are ready when you are guys, like we are here using this.
Katy: We are muddy. And in those trenches, especially in this rain actually I think we've been in the mud and some of the time my head pops out of the mud these days and I'm like, oh, this is so cool. And then I'll go, oh yeah, we just need to do a little bit more work on this. But yeah, we are absolutely ready. There are some tools that have been stress tested for such a long time. They're really helping some businesses out in and our space. If you are a client of ours. And you are like, oh, what tools do just ask us in Slack and we will, we'll put you in the right direction, but you've all got access to them and we're really excited to see you on the next episode. Ah, until then,
Roxy: have a good day all night. Bye.
